Job Summary

The Vice President’s Clinical and Translational ( VPCAT ) Research Scholars Program, a unique early-stage faculty career and research mentoring program at the University of Utah, offers intensive mentorship, resources, and support to faculty engaged in clinical and translational research in transitioning to academic success. Founded on VPCAT’s holistic mentoring framework, the Matrix Mentoring Model, accepted faculty scholars receive a 2-year experience that includes training in scientific career development, grant writing and management, and leadership designed to create empowered principal investigators.

We are seeking a proactive program coordinator to join our team. Strong written and oral communication skills, along with the ability to coordinate, implement, and track complex program and activities are necessary skills. The coordinator will be the main program contact, and is responsible for coordinating program activities and ensuring program goals are met. The Collaborating with departments, schools, and colleges, the Coordinator plays a key role in development and advancement of the program.

Primary responsibilities include curriculum organization, execution, and evaluation; overseeing day-to-day activities involved with scholar and program communications, scheduling, and program database maintenance; and; ensuring program goals and objectives are met in accordance with established criteria. The Coordinator will be a resource to all program participants and support all program activities. The Coordinator must be able to work independently and actively contribute to the diversity of viewpoints, experience, and expertise of its program members. VPCAT highly values strong communication, coordination, and organizational skills that will ensure the prioritization of work objectives and goals for multiple deadlines, processes, and activities.

Responsibilities

  • Organize and manage twice-monthly curriculum sessions (both in person and virtual), including the annual organization of the session curriculum, scheduling presenters, and executing sessions. This can include coordinating catering, room scheduling, and communicating activities. Will track attendance, gather and organize curriculum evaluations, and post session materials online.

  • Take point on the annual VPCAT application process, including preparing application materials, tracking applicants, and scheduling review meetings. Will prepare all notifications and progress reports communications and assist in orienting new scholars, which includes scheduling multiple initial meetings.

  • Create and distribute VPCAT program communications. Includes writing, editing, and distribution of monthly editions of VPCAT Victories highlighting scholars’ success.

  • Organize daily program operations, including scheduling and maintaining agendas for the standing weekly staff meetings and quarterly mentor and advisory board meetings.

  • Collaborate with the VPCAT Research Manager and other members of the Office of AVP Health Sciences Education to develop and implement program goals and objectives.

  • Must be able to make quick decisions while managing multiple programmatic activities, especially where accuracy and details are vital. Open communication and ability to make on-the-spot decisions is needed to ensure activities are executed effectively and efficiently.

  • Supporting the VPCAT Research Manager in database management. Systems are in Excel, necessitating a solid skillset and experience with this particular program.

  • Managing essential program functions, including setting up meetings and schedules for the VPCAT Program Director, establishing and maintaining tracking and reporting functions.

  • As a vital member of the Office of the AVP Health Sciences Education, act as representative and liaison with all program and project entities within the Health Sciences. Work with other coordinators and the VPCAT Research Manager as a backup for other office functions.

  • Advise staff, office faculty, and program stakeholders regarding program goals and related technical issues.

  • Assist with any program questions or issues that arise.

Minimum Qualifications

Bachelor’s degree in a related field plus one year directly related experience or equivalency (one year of education can be substituted for two years of related work experience). Demonstrated ability to work independently, analyze and make decisions related to program content. Strong coordination and organizational skills required to prioritize conflicting deadlines. Demonstrated human relations and effective communication skills are also required.

  • Master’s degree.

  • Familiar with academic and/or research environment.

  • Service oriented, can handle tight deadlines, and manage multiple projects simultaneously.

  • Possess advanced writing, analytical, and comprehension skills, as well as exceptional interpersonal skills.

  • Proficiency with Microsoft Office preferred.
